UPDATE

All the games will be played on grass. If the weather is to wet for grass there is a an alternative artificial surface, so please bring astroturf boots as well or trainers if you have no astroturf boots. It is also suggested that players should as a precaution pack two towels. If you haven't yet read the meeting notes below, make sure you do so now please.

There will be a publicity photograph at 8.00 pm next Wednesday at the Astroturf. Therefore would the boys who are going to France try to ensure they attend training next Wednesday.

2. TRAVEL

Coach – Mid Wales Travel; Ferries – Brittany Ferries. The coach will depart from Plascrug Leisure Centre Aberystwyth and will travel toward Llangurig. Therefore we will not be travelling through the South of the County either on departure or return. Parents are asked to be at Plascrug Leisure Centre for 7.00 am.

A traditional 15 th Century Breton Residence; there is on-site a full size football pitch equipped with changing rooms and floodlights; a games area; 9 hole crazy golf; a 3km fitness circuit.

5. TRAVEL MONEY

£10.00 = 13.1421 Euros

Outward Journey  

Parents should prepare two separate packed lunches for the outward journey. One packed lunch to be consumed on the outward coach journey and the other either on the Ferry or between Cherbourg and St. Brieuc. There will be two service station stops on the journey to Portsmouth but no stops between Cherbourg and St. Brieuc. £10.00 only will be permitted for the outward journey. Players will carry this money with them. It is important to consume fluids regularly as youngsters can become dehydrated on long coach journeys so please supply one or two bottles of fluid.

In St. Brieuc

For each day of our stay the price paid includes breakfast, picnic lunch and an evening meal. For incidental expenses over the two days a maximum of 15 Euros is permitted.

Parents of players in the Under 12 and Under 14 squads should obtain the Euros prior to travel and place the Euros in a separate envelope marked with the players name and marked "euros". This money will be held by the group leader to distribute to the players on the Sunday morning.

Return Journey

We will have an early breakfast but there will be no stops en route to St. Malo. We have a long ferry journey and players will need to purchase a meal on the ferry which I am told tend not to be expensive (when compared to British service stations). There will be at least one service station stop on the return journey from Portsmouth to Aberystwyth. A maximum of £20.00 is permitted for the return journey which again should be put in a separate envelope marked ‘return journey’. The service station stop will not be until approximately 9.00 pm so parents should prepare two further envelopes marked with the players name one with £15.00 marked "Ferry" and the other marked "coach". Again these monies will be held by the group leader to distribute accordingly.

The travel money distribution is compulsory for players in the Under 12 and Under 14 groups, it is voluntary for the Under 16 groups

6. Communication  

Squad lists have been prepared and broken down to 6 groups of 7 players. We have identified ‘a communicator’ for each group of 7. We will contact the communicator of each group during the early evening of each day to report on progress. The idea then is that the communicator contacts the numbers on the group list to pass on the progress report. Therefore parents of all the players will recieve daily progress reports during the early evening of each day.

7. TOURNAMENT

As we have not been before we know very little about the Tournament in advance. The basic idea is that each squad will play teams from St. Brieuc and Alsdorf.

The Under 12’s will be playing several short qualifying matches on the first day, and long matches on the second day.The Under 14’s and Under 16’s can expect to play 2 matches on the first day with the tournament continuing on the second day.

It appears that the football pitch at the Youth Hostel is to be used for some of the games and another venue 5 minutes from the hostel will also be used but as yet I do not have an address for the other venue. Parents who are travelling out independently will probably need to travel to the hostel early on Sunday morning to find out more about the arrangements.

All players will be fully involved. The Academy kits will be used for the games. We are waiting to hear whether any artificial surfaces are to be used. Players should pack water bottles for use at the games.

8. CLOTHING  

All Academy players should bring their Academy tops and shirts. It will be compulsory for Academy players to wear one of those items when travelling so they are easily identified. Players should have with them a wet top in case of rain at the games and a sweatshirt or jumper to wear in case of cold weather at the games. Additional clothing for the evenings at the hostel should be brought.

9. MEDICATION

We will not be able to administer or distribute medication. Therefore parents must choose whether to supply their child with travel sickness and/or headache tablets.

10. MOBILE PHONES, IPODS etc.

It is a matter for parents whether players bring such items with them. The Academy, Aberystwyth Town Football Club and Mid Wales Travel accept no responsibility for lost or damaged items and we will not be able to devote time to hunting for such items if they are lost.

As promised please find below a statement in respect of disciplinary rules and procedures to be adopted by the Academy during the trip

DISCIPLINARY RULES

Introduction

  • These rules apply to all players travelling to St. Brieuc with the Academy, they are issued to all travelling players as part of the organisation of the trip
  • These rules are not intended to be an exclusive, or an exhaustive list of types of misconduct, which can result in disciplinary action against a player but are intended to spell out as clearly as possible to young players the forms of disciplinary breaches which are likely to give rise to disciplinary action.
  • Parents are asked to discuss these rules with their child to ensure that they are aware that the Academy expects each travelling player to behave properly and responsibly and to draw to their specific attention the disciplinary sanctions that can be imposed for poor behaviour and misconduct
  • Parents and travelling players are each responsible for reading and understanding these rules
  • Disciplinary Action will be administered by the Academy administrator who will carry out investigation of any alleged poor behaviour, misconduct and /or disciplinary breaches

 

Examples of Types of Misbehaviour Which Will Justify Disciplinary Action

  • Inappropriate language and/or behaviour offensive or harmful to other players, travelling parents, Academy Officials, Coach travel or Ferry Crossing staff or officials, Youth Hostel staff or officials, Tournament staff or officials or other members of the public.
  • Smoking and or Possession and or use of alcohol or controlled drugs. (Players travelling with prescribed drugs must register the prescribed drugs with the Academy Administrator)
  • Insubordination and or failure to obey a reasonable instruction issued by any adult member of the travelling party or organisers of travel and accommodation without reasonable explanation.
  • Dishonesty substantiated to the reasonable satisfaction of the Academy Administrator
  • Bullying or other harassment or unreasonable behaviour toward another travelling player or players.
  • Inappropriate use of safety equipment, particularly fire safety equipment
  • Leaving the tournament venue or Youth Hostel otherwise than in the company of an adult member of the travelling party without the permission of the Academy Administrator 

Depending upon the Academy Administrators assessment of the seriousness of the misconduct the following disciplinary sanctions may be imposed

  • A single incidence of minor misconduct – a warning as to future conduct will be issued and a record of the warning recorded
  • Repeated minor misconduct – following the issue of a warning, if there is further misconduct a Yellow Card sanction will be imposed and recorded (See below)
  • A single incidence of significant misconduct – where the misconduct is more than minor but less than serious a Yellow Card sanction will be imposed and recorded (See below)
  • Repeated significant misconduct – following the issue of a Yellow Card sanction, if there is further significant misconduct either a further Yellow Card sanction or if deemed appropriate a Red Card sanction will be imposed and recorded (See below)
  • A single incidence of serious misconduct – where the misconduct is assessed as serious a Red Card sanction will be imposed and recorded (See below)

Yellow Card – a player receiving a Yellow Card will be excluded from participation in one game in the tournament. More than one yellow card may be issued. Where this sanction is insufficient because the tournament has ended or occurs on the return journey the player will be suspended from the Academy (coaching and games) for two weeks.

Red Card – a player receiving a Red Card will be excluded from participation in any of the tournament games remaining to be played. Where this sanction is insufficient because the tournament is coming to an end or has ended or occurs on the return journey the player will be suspended from the Academy (coaching or games) for the remainder of the Academy term.

Central Wales Football Association – in any case of misconduct the Academy reserves the right to report the players misconduct to the Central Wales Football Association upon return from St. Brieuc which may result in further disciplinary sanction affecting the players ability to play for his club

APPEALS – where a disciplinary sanction is imposed by the Academy Administrator during the trip to St. Brieuc the coach of the players squad will be required to speak with the player to ascertain whether an Appeal either against the finding of misconduct or the disciplinary sanction should be made. If there is an Appeal it will be made by the coach of the players squad to the Academy Administrator. The adverse affect of the disciplinary sanction upon the performance of the team or squad in the tournament will not be permitted as a ground of appeal. Any Appeal must be made to the Academy Administrator within 2 hours of the imposition of a disciplinary sanction. The decision of the Academy Administrator following any Appeal will be final and no further Appeal will be permitted.

Where the misconduct occurs after the Tournament has ended the Academy Administrator may defer considering the misconduct and imposition of a disciplinary sanction until after the travelling party has returned home in which case the player will be advised of an alternative appeals procedure.

REFUNDS – no refund of part or all of the cost of the trip will be entertained or permitted by the Academy as a result of disciplinary sanctions imposed upon a travelling player. Further, no refund of part or all of the cost of the trip will be entertained or permitted by the Academy where the misconduct of a player or group of players has an adverse effect upon the enjoyment of the trip and participation in the tournament of a player or players entirely innocent of any misbehaviour or misconduct.

TRAVEL DOCUMENTS

We are making application for a group passport for the players. Adults travelling must ensure that that they have a valid and current passport. Please check your passport to ensure that it is current and will be current when the trip takes place.

IMPORTANT - It is essential that each individual travelling has a European Health Insurance Card (EHIC). The old E1 11 form is no longer valid. Players and parents should check (immediately please) that their child has an EHIC which is specific to the child. If the child does not already have an EHIC then application (free of charge) can be made;

(1) online at www.ehic.org.uk - this is the easiest way and the card should be delivered within 7 days

(2) by phone - call 0845 606 2030 - the card should then arrive within 10 days

(3) by post - an application form and pre-addressed envelope can be obtained from the Post Office - the card should arrive within 21 days.

To obtain an EHIC for a child under 16 the parent or legal guardian should apply as the main applicant and include the child as a dependant. In this way the parent or legal guardian and the child will each recieve an EHIC. However you apply, you will need the following information to hand - name, date of birth, address and NHS or NI number for persons 16 and over.

All travelling players and travelling adults are required to have an EHIC. These will be collected in at a meeting that will be arranged so that they are kept centrally by the Academy.

The EHIC is normally valid for three to five years and covers any medical treatment that becomes necessary during the trip, because of either illness or an accident. The card gives access to state-provided medical treatment only, and treatment is on the same basis as an 'insured' person living in the country we are visiting (France). As this might not cover all the things we'd expect to get free of charge from the NHS in the UK, we will also be taking out travel insurance.

PAYMENTS

The cost of the trip for each individual is intended to cover the following: -

Coach travel to France, coach travel in France and return coach travel;

Ferry Crossings;

Accomodation and meal costs whilst at the Hostel in St. Brieuc and picnic lunches for the two days of football;

Tournament admission fees

Travel Insurance.

The cost of the trip does not include: -

Meals and incidental expenses (snacks) whilst travelling to France

Meals and incidental expenses (snacks) whilst travelling Home

Meals and incidental expenses (snacks) whilst travelling on Ferries

Pocket money

We will in due course publish a detailed itinerary to help parents assess how much expenditure money to provide for players to cover those costs not included in the trip. It is recommended that parents provide packed lunches for travel to France.

Deposits paid are non-refundable unless the trip is cancelled and only then to the extent that we are able to recover part or all of deposits paid to third parties.

The balance of the cost of the trip will be due late February when a parents meeting will be arranged. If then a player or Adult is for whatever reason unable to travel or participate there will only be a refund if it is possible to arrange for a substitute paying player to take the place of the player unable to travel or participate. No refund will be available for any player unable to participate in games through illness or injury or exclusion due to unacceptable behaviour

PARENTAL CONSENTS

We will shortly be writing to parents with a form providing for details of any special medical or dietary provision and consent for appropriate emergency measures. Please ensure that the forms are completed promptly and legibly and returned to the Administrator as advised.

BEHAVIOUR

We will shortly publish on this web-page a clear statement concerning discipline and the sanctions to be imposed for breach of discipline.

PARENTS MEETING

A meeting will be arranged in late February to which it is expected that at least one parent of a travelling child will attend. The purpose of the meeting will be to discuss in more detail the arrangements; to receive the balance of the cost of the trip; to receive EHIC forms for each travelling individual; to discuss and confirm means of communication; and a general question and answer session.
